Guest Count as Part Number
The simplest way in AMS to keep track of the winery guest count so that you can report on it is to add a Guest Count part to the part master. Once a part is created and added to the button touch screen a clerk can add the amount of guests for each transaction entered into AMS. This will allow AMS users to report on the part # and compare it to tasting room sales.
Create the new part in INFMM.ACP or go to the part grid, INFMM.PAG and select Add new Part or copy an existing part. In this example, we will copy an existing non wine part to create our guest count part, to see more detail on adding a part from scratch see Creating A New Part Number INFMM.ACP. From the Part grid, highlight an existing non wine part and select Revise part or just double click on it.
From here, hit enter one time so that all of the fields that are green in the picture above are white and the Function and Part# field are green.
Now change the Function field to A, and enter the new part # and hit enter so that the Function and Part # field are white and all of the other fields are green. Green means the fields are open for data.
Now select the Special Function key. As soon as that is selected, a Recall data button will appear next to it. Select that so that all of the data from the part that is being copied from is filled in. With the exception of the BSZ, Units/Case and tax fields; those fields will need to be manually entered.
Once the description is changed and the required fields are entered, save the new part and add zero pricing to it in the Maintain Prices And Discounts (MPD) menu. If no price is added to the part, the clerks will receive a no valid price found for Price class... and then the clerk will have to add the zero price and select the part again. Next step is to add it to the register by Uploading a Button Spreadsheet with the new part # on it and start tracking the guest count for the tasting room transactions.
PS Transaction using the guest count button:
When ringing up a transaction in Cash Register (TCH), go through the normal carry out or ship transaction. In the carry out section of the sale, select the quantity of guests using the quantity hot keys or if the quantity of guests is not one of the hot keys, select the green Qty button and enter the number of guests, then select the guest part on the touchscreen.
The IDS screen defaults to all tasting rooms, so if using multiple tasting rooms in AMS be sure to select only the tasting room you want to see the guest count for.
To review the number of guests for the day, so that it can be entered in the visitor count field when Cashing Out a Register, go to Inquire Daily sales, PSCRM.IDS. Once in the IDS screen, select Part radio button.
