The mass emailing feature in AMS allows you to send emails to a select group of customers and add contacts to their customer profile.

The Order email text is where the user can add email templates for several transactions in AMS, these email templates will only work with certain functions in the system.  To create an email select the template to create and if necessary select a Tasting room, if not the * works for all tasting rooms.  For clients with multiple tasting rooms, a template is needed for each one, for all other clients the * is already selected for you.  Each email template has a set of tags to add to the email such as first name, last name, full name, customer number, etc.  These tags will generate the appropriate information from the customer record or order so that the email is semi-customized for the particular customer.  Click on the edit mode to add the Append a tags and the content of the email.

 

Every time you add an Append a Tag it automatically is placed at the top of the text field, it does not place it where the cursor is.  Add all of the Append a Tags that you intend to use first and then copy and paste them into the correct location in the body of the email.

Do not create your own Append a Tags.  The only Append a tags that will work are the set of Append a tags available for each email template.

Once you create the email, select accept and then select test email.  The system will send the email to the email address in the Maintain User Control File (MCU) file for the user that is signed in and testing email.  Access to MCU is commonly limited to super users, you can edit your own user details via the My Contact Information and Interests (MCI) screen.

Credit Card Approval, Declines and Expiring cards

Credit card approvals and declined card email templates work when you select orders in the order management screen with those status.  Expiring card email works out of Order Management (PSORM.ORM) after creating an order for the customer and in  Customer Management (CRM) before creating an order by searching for customers with expired cards on the accounts.

Converting will call orders to ship

Before you convert your club will calls to ship them to customers who have not picked up their orders by your company's deadline, you can send them a reminder email from AMS.  This email option is only available in the Order Management (PSORM.ORM) menu.  You must work in your club group to use the email function.  Once in your group,  select your will calls by using a drop down filters and select Will Calls Only.  You will also need to uncheck all of the boxes on the top right corner except for the sold box. That way you get rid of any will call orders that have already shipped, have been voided, or that have a declined tender on the order.  Then select Work with Checked.

Next you will select Convert Club Will-calls to Ship:

Then select Email: Will Calls to be shipped.

You will then receive a pop up letting you know how many emails will be sent and if some customers have been sent this particular email before.   If you have sent emails before, the next screen will give you the option of sending first time emails, only re-send emails to customers that you have sent to previously or send to first timers and re-send to customers that have been sent to previously.

Order confirmation & Shipment confirmation

Order Confirmation email becomes available in Order Management (PSORM.ORM) as soon as an order is created.  Shipment Confirmation email becomes available to send as soon as the order is marked as shipped. If the Shipment confirmation email is selected when the orders are not shipped, the system will bypass them, see screenshot below. 

In the screenshot below, the orders do not have a shipped status so when the shipment confirmation is selected the system displays a message that the orders were bypassed and therefore no email will be sent.

Reservation confirmation

Reservation confirmation email works with the Event Management reservation system.  You can have a unique email template per event set up in the EVM menu.

Once you add a reservation for a customer you will have the option to send them a reservation confirmation email.  Once you have sent the customer an email, the verbiage on the send email confirmation will change to re-send email confirmation.

Join club, Gift club (giver), Gift club (Recipient) & Cancelled club

These templates are available in Customer Management (CRM) after a club account is created for a customer or after you have added a thru date to the club membership.

Send Receipt and Send invoice

Send receipt is a function that is available after an order is created in Cash Register (TCH).  Send Invoice is available in Customer Management (CRM) and Order Management (PSORM.ORM).
