MET - Maintain Emails & Texts, Communication Template Maintenance

Introduction

Use MET to define, maintain, and manage the content of the system's outgoing email and SMS text messages. Outgoing messages can be triggered automatically by activity from the online shopping cart or manually by the winery staff. 

PSSCM.MET consolidates two older menu options to centralize template maintenance. Centralization enables better management of all outgoing communications, promotes content consistency, and increases ease of use.

Feature Overview 

The MET system provides automated email and SMS text support for order processing, wine club, and reservation activities. Miscellaneous CRM email provides a simple and efficient mechanism for generating communication to a segment of customers.

  • Order templates are defined by tasting room and register. Outbound messages use templates that match the specific tasting room and register of the transaction. For example, Reg-$ for Club transactions, Reg- 1-9 or A-Z for tasting room transactions, back-office transactions or those completed by the shopping cart.
  • Wine Club membership templates are defined by tasting room, wine club code, wine preference code(s), and club shipping code. Outbound messages use templates that match the specific properties of the membership record. Wine preference enables you to send welcome emails specific to the member's level of participation. Club shipping enables you to send welcome emails that speak to a member's participation in a WILL CALL/Pick-Up program. Club, Preference, and Club Shipping codes also enable you to craft messages specific to your programs instead of having to use data "TAGS" that often contain descriptions that are not meant to be customer-facing. 
  • Reservation templates are defined by tasting room and EVM event.
  • Customer templates require only a customer number. CRM supports saving multiple Miscellaneous emails instead of only having one.

Add Template Wizard

MET guides users through the process of creating new template via its Add Template Wizard. The Wizard displays windows as appropriate to the type of template being created. Edits ensure required data is collected to assure proper template selection. Edits ensure that duplicate templates are not created. Navigation keys allow you to go back and forward to change specified parameters as required.

Add Template Wizard

If specifying multiple preferences, MET will only use the template for a membership having the exact combination of selected preferences

We recommend that you define and use special "Catch-All" templates. This will ensure that a generic template exists for all combination of trigger data elements.

  • Template would be used for Club WC when no MET template represents the membership's specific wine preference or club shipping combination. 
  • Template would be used when no MET template matches any properties of the membership.

SMS Text message support is only available for reservations made by the EVM Event Management System.  

Optionally, the content of miscellaneous emails can be saved as a contact attachment when customer contacts are created during the send-email process. Please refer to ZZZ Central Table setting SAVEATTMT.

As of August 2022

The tags highlighted in rose above are obsolete and should not be used. We incorporated the information they contain into the new HTML template itself. Using obsolete tags will result in email messages with repeating information:  data from the obsolete tag repeats data automatically incorporated into the template. Templates and cells highlighted in yellow identify where data redundancy will occur.
