Introduction

The register master file is where you will add and edit registers.  This master file tells the system how you would like your register to behave. It is here where you are going to ask questions like will this be a register that takes cash, or what do want the default transaction type to be.  The master file is located in the Sales module (SLS), under tasting room and consumer sales (PS,) and then other file maintenance (PSFMM).  The menu option is MRM; start by double clicking this option.  You will see the screen below.

Where Is It Found



If you are adding a register you will want to start with entering a room and a register.  You should have rooms already set up, but it you need to add one this can be done in the central table TRM, please follow this link Tasting Room Master (TRM).  If you are adding a register just enter a number or letter that you are not already using. You will need to add a description, like our room 1, register $ is described as Wine Club Register.  If you are editing you will need to choose the register that you would like to edit.  You can use the drop down menu to help choose. 

The next option is to choose a terminal number and type.  No two registers will have the same terminal number. It is a three digit number that must be unique within your company and it is used to identify the register. The number can be arbitrary as long as it is unique, but users tend to assign them based on the tasting room number and register number.  For example, tasting room 1 register 3 would get terminal number 103.  Tasting room 2 register 1 would get terminal number 201.  As the system gets updated the option to enter type will no longer be an option, all systems will have the type WIN. 

Cash drawer type tells the system if there is a cash drawer connected to this register and if so, is it connected through your receipt printer or routed through the serial cable.  If this is the wine club register, a back office register, internet register, etc., most likely you will not have a cash drawer, because you will not be taking cash.  The cash drawer is necessary in the tasting room or at any register where your customers are going to be able to pay with cash.

The next field that you will need to know about is the Show receipt email option.  If this option is set to Y, after an order has been tendered in the touchscreen of the corresponding register the Email/Print Selection Screen will pop up.


When an order is attached to default customer records, the email receipt option screen appears blank as shown below:  


Otherwise, if attached to an established Bill-To customer, the system brings forward available fields of data and fills the email option screen as shown below:.

The Force clerk validation option, tells the system whether you would like the clerk to log in after every completed transaction.  If multiple clerks share a single register, this feature helps you track what clerk rang through what order.  If you have a register that is typically only used by one clerk, forcing the clerk to log back in after every transaction would be unnecessary.

If Force clerk validation is not used (i.e., set to N), the Timeout seconds option tells the system how long to wait before automatically logging a clerk out of the touchscreen for inactivity. If set to 0, the function is disabled; clerks may remain in the touchscreen indefinitely.  

The field labeled "Order review timeout seconds" tells the system how long to display a completed order for review before clearing it from display.  Three values have special meaning:  Zero (0) suppresses display of the order review screen completely; 99 causes order review to display indefinitely and until explicitly dismissed.  A value of 30 seconds or greater suppresses display of the "Change" screen when change is due.  


The field labeled "Create Order entry batches" determines whether the register functions in batch mode or maintains a cash drawer and needs to be cashed in and out.  Back office registers like your club register, telesales and internet registers should be in batch mode (Yes). Tasting room registers with cash drawers should not be in batch mode (No) and should be cashed in and out on each day of use.

Four register Modes determine how a register behaves when processing orders:

R = Regular/Normal Register (with or without cash drawer) with ability to SUSPEND order before payment processing

O = Order Entry (back office)

P = Tip Mode (enables pre-authorization of charge and post-authorization that includes an optional tip amount)  See Register in Tip Mode for more information on how this mode functions. 

T = Table or Open TAB Mode (like an open tab in a restaurant, a transaction may be initiated, suspended, and updated indefinitely until tendered for payment)  See Open Tab/Table Mode for more information on how this mode functions.


CC Verify Mode:


    • S- swipe
    • O- back office, processed as entered
    • M- only manually processed- no swipe button
    • B- batches for $ register
    • A- auto verified- no card actually charged. For practice and fixit register.

Default transaction type- This an optional field.  When filled in, the register will default to the transaction type so that clerks do not have to manually choose a transaction code when entering Cash Register (TCH).

Default Contra trans type-

Allow editing of line items-  It is recommended that registers live with cash should say no and back office registers should say yes.  Even if the clerk has permission to edit orders in the Maintain Clerk Master File (MCL), the register master will override this.

Allocations Check- This looks at wholesale or OE allocations to see if the part a clerk is ringing up is allocated to the OE customer on the Tasting Room Transaction Code (TTX) or the OE customer on the Customer Maintenance (Page 2).  If the customer that is being rung up by the clerk has an OE number on page 2 of their customer record, this will override the OE customer on the Tasting Room Transaction Code (TTX). The options for the allocations check is to stop, warn or do nothing if allocations are not available for the OE customer.

Show cust tender info-  This will just show the Tender type, last 4 digits of the credit card and expiration date on the Use Card on File button.

Print on act receipt-  If the clerk gives a customer products for an on account order or enters in the on account transaction, this gives the clerk the option to print out a receipt if Yes is selected in this field

Default browse method for browse sales-  When selecting browse sales on Cash Register (TCH), this field tells the system how to browse teh orders.  The choices are to browse all orders by order number, not register specific or to browse the orders for the specific register the clerk is logged into.

AVS and CVV2-  If Yes(Y) is selected, during the card process the billing address on file will be verified before the card is processed.  There is also an option to only use AVS when manually entering cards.  If a limit is entered in there, then the system will only check AVS on orders above the amount entered in the field.  CVV2 can be required when the credit card is entered.  There is also a field for limit so that if the CVV2 is set to Y and there is an amount entered in the limit field, then the CVV2 will only be required on orders over the amount entered in the limit field.

Touchscreen button code-This is the code that needs to be on the first column of the Touchscreen Button Programming (Button Spreadsheet) in order to load buttons on the register.
