Introduction:


In a continuing effort to make our software easier to use we have designed a customer data entry screen to be used from the Touch Screen Register (TCH) program.
The goal of this screen is to provide tasting room clerks with an easy to use tool for entering customer data. In the past clerks had to use the full Customer Management program with its multiple pages of entry screens. In contrast the new screen is many times faster and less confusing.
Many of the customers we spoke to were also doing club signups on paper forms, sending the forms to a processing desk for later entry. We wanted to eliminate the need for this process and to that end you can also add club memberships quickly and easily as part of the customer account creation.
The screen supports dynamically choosing to enter one of two different customer types.

  1. Full "numbered" accounts. That is customer accounts with full shipping data.
  2. "Email Only" accounts. "Email only" is a concept that was invented to store customer information when the minimum requirements for a full account cannot be fulfilled. The original design intent was for customer newsletter signups via our shopping cart. We have since expanded on this concept to include other data fields. The de facto name "email only" at this point is somewhat misleading, alas that's the name.




Email Only accounts can be found using CRM by checking the "Email Only" search criteria.




Setup & Control:


Step 1: Enabling the Quick Add feature for registers


By default the quick add screens are disabled. This is to prevent surprising clerks with a drastic change. The feature must be turned on for one or more registers. At some time in the future we may enable the new screen by default.
To enable the new quick add screen you need to edit/create a new Central Table ZZZ entry.
You may not have permission to enter the central table configuration. You may need to get your manager to enable the feature for you.
The ZZZ table code is PSTCHQACTL. Edit or create the table as per the screen shot below.
Example Free Form Data:
If I wanted to enable the feature for all registers in all tasting rooms I would enter "{}{}".
If I wanted to enable the feature for only register A in tasting room 2 I would enter "2A". Where 2 is the tasting room number, and A is the register number.

Step 2: Defining required information for Email Only account creation


Next you will need to define what information is required in order to create a new email only account if you choose to. Or if you prefer you can disable the creation of email only accounts altogether. If you choose not to use the Email Only Accounts, then the new screen will be used to only accelerate full customer account creation.
Rules are defined in the MOC screen. That is Maintain Order Controls (Non-Inet) from the menu tree. The tree view menu sequence is SLS->PS->PSFMM->MOC. Or if you are an AMS pro you can use your keyboard. Simply hit CTRL+K then type PSFMM.MOC and press Enter. Now that was much faster right!  (it's a lost art…)
Once in the MOC screen choose the F4 button labeled "Cust Maint Control". Then from the radio button at the top right of the screen choose "2 Email Only Control". You should now see a grid of options like the screen shot below.

It is important to note the very last row in this grid, "Allow entry in Quick Add customer screen". If you do not have a check in the first column, the creation of new email only accounts via the quick add screen will not be allowed.
If you check items in the "Prompt for entry" column the clerk will be asked to enter those data elements, but entry is not enforced. That is, the clerk can press enter to disregard the prompt.
Once you have decided what data elements are required for your organization, check the appropriate boxes and exit the screen.

How to use the new screens:


To begin add items to your order as usual, and then touch the F2 "Bill To Cust" button in the top right corner.
Using the F3 "Add Customer" button will invoke the new screen. You must have customer templates setup in PS Order State Control (MOC) so that the system will utilize the defined template for the state entered on this screen. NO ORDER CONTROL FOUND FOR XX

Once the new screen is up, the amount of information you enter will determine the type of account that will be created (Full Account or Email Only), as long as email only account creation is enabled in MOC.
If there is any question as to what type of account is about to be created you can observe the text of the confirmation F1 button as well as the message line before you confirm the account information.



Creating Full Accounts


The AMS Software requires that full accounts at a minimum have the following information.

  • First/Last Name
  • City, Street, State, and ZIP.


Shipping Address:

Data Entered into the main page of the new screen is for Shipping Address information. If your customer has an alternate billing address first enter the complete shipping address information and press enter. This will unlock the F3 "Billing Address" button.

Billing Address:

Once full shipping address information is entered the F3 "Billing Address" button will unlock allowing you to enter the billing address

Driver's License Scanning:

You can scan driver's licenses to help speed the data entry of new customer information. To scan a driver's license touch the F10 button labeled "Scan/Swipe I.D." a scan prompt will appear. If the drivers license format is not recognized by the software you will receive an error. An automated system message will alert our development staff that an unrecognized format has appeared, we will add support for the new format ASAP. States are free to change the format of the driver's license data at any time, so this will be an ongoing process to keep current.
Note: When scanning a driver's license, you will want to check with the customer that the information is current before accepting it.

Club Entry:

After you have entered the customer information but before you create the new account, you can set club information using the F5 button labeled "Club and Credit Card".
On this page you will find the relevant fields to sign up a customer to a club. There is also a function to scan their credit card to be used for the club.

Optional Codes:

Various optional codes for the new account can be set if desired once the full shipping information has been entered.

Creating Email Only Accounts


Email Only Accounts only require an email address unless you have defined further organizational requirements in the MOC screen. Simply enter the configured minimum set of information and press F1.

Examples:


In the above example, a Full Account will be created as the requirements have been satisfied:
First/Last Name
City, Street, State, and ZIP.
The intention to create a Full Account is displayed by the software via the button text and message line.
In the example an Email Only will be created as an email address has been entered but Street has been omited preventing the requirements for a full account from being statisfied.


The intention to create a email only account is displayed by the software via the button text and message line.
The above example is of a reminder prompt that will be displayed to a clerk when the "Prompt for entry" on birth date is checked on the MOC screen.


If the clerk simply presses enter, then prompt is dismissed.
