Using the advanced search option in Customer Management (CRM) allows you to use a date range in your search, it also allows you to narrow down your search even further if you run out of search fields in the main CRM screen, and it has search tools that are not available on the main CRM screen. To access the Advanced search feature, select the Advanced search button on the main CRM screen. Once in the advanced search screen there are a series of buttons offering search category choices. Each button brings up a new screen with options to refine your search.Codes and Dates:

For the sales tax, shipping, club shipping, wine preference, price type, and source code you have the option to include or omit certain codes. For example if you want to include members with certain shipping codes you would select I and then in the field next to it you can select the shipping codes by either typing them in with a space between each code or clicking on the glyph and selecting from the look up. To select the codes you want to include, double click on the codes from the available items so they are moved over to the selected items.
Once you have selected the items you can continue to narrow down your search criteria with any other field on the page or you can move on to another tab on the bottom of the page and select more criteria for your search. If you are done, select the Done button and then select Refresh on the main screen to get your search results.
Whenever the screen needs to be refreshed to update your search criteria the Refresh button will be red and it will say Refresh needed. Also, note that any time you are using the Advanced search filters, the Adv Search button on the main CRM screen will be red and it will say active. This is just a reminder to clear your advanced search filters in case you need to do another search. If you do need to do another search and need to clear your filters, select Adv Search and select either Clear this Filter or clear All Filters. If you select Clear this Filter it will only clear the filter of the page you are on.
If you need to do a search on birthdays for an upcoming promotion you can use codes and dates to find all customers with birthdays in certain months. If you only want to send out birthday offers for customers that have had sales recentlyyou can narrow down your search with the last sale date. For example, I am going to search for customers with a birthday in August and that have had a sale within the last two years.
These are just a few examples of how you can use Advanced search in the CRM menu. You can use the codes and dates advanced search feature in conjunction with searches on the main screen as well as the other tabs in the Advanced Search. Once you have your selection narrowed down to your liking you can then copy your grid to the clipboard by right clicking anywhere in the grid or you can select Work with Checked for more options.
From this screen you can build spreadsheets, print labels, create contact entries, edit orders, mass change the selected customers or build reports. If Build a Spreadsheet or CSV file is selected then all the customer data from their record for every customer that was checked will display on the spreadsheet. If Build Email spreadsheet is selected then only those customers with emails or that have OK to email flagged as Yes in their record will display on the spreadsheet. The email spreadsheet only displays data from page 1 of the customer record. Creating contact entries enables you to create a contact entry for customers in mass, the contract entry can be dated in the future in case you are extracting an email list but the email is not schedule for that day. The edit orders button will take you to the Touchscreen (TCH) where you can specify a date range of orders and individually edit the orders. The report options enables you to run a report for only the select group of customers. Once you get to the report request screen you can choose the dates and any other criteria to extract the data you need. See Tasting Room Sales Reporting for information on running reports in AMS.
