Wine clubs are maintained on the wine club page of each customer record.  Image Removed Two codes determine what wine club a customer is in, Wine Club (TWC) and Wine Preference (TWP). The combination of these two codes will determine what wine club package a customer receives when each wine club run is built. Image Removed
Select what wine club the customer is in using the available drop down box or if you know the codes you can key in the Wine Club code.

Select the start date for the wine club membership by keying in the date or by using the drop down calendar. You can also use date hot keys in nearly all date fields.

Gift Memberships


If the membership is being given as a gift the customer that is giving the gift (gift giver) must have been previously be setup in the system as a customer.

The gift recipient then receives their own customer number and on their customer record you will attach the wine club information.

  The club information is put on the gift recipient's customer account, but the billing information is set up on the gift giver's customer account. In the gift membership bill to field you will key in the gift givers customer number or use the drop down to search for the gift giver.

User defined codes are ordinarily used to track the clerk or sales rep who signed that customer up for the wine club, to track signups for commissions. Each clerk needs to be setup with a code in the User Defined (UDC) code table to use this feature. If using this feature select from your drop down list the appropriate clerk for that signup.

Club shipping overrides can be used to send a club shipment to a different address than the primary shipping address.  It also can be used to change the shipping to a will call for a club shipment.  Also, for states that require both the birthdate of the sender and recipient, if you have a membership with 2 members and a shipping address that differs from the billing, you can use this feature for the shipping address and to record the 2nd club members name and birth date

To create a club shipping override:

2.  Select the date range  that you plan to ship the appropriate club shipment.  I recommend putting a date range span of about a month in case the planned ship date of the club shipment changes.  If you are using this shipping override for every club shipment in order to record the 2nd member's birth date for compliance purposes, then add a longer date range so that it covers several shipments.  I always use the date of 12/31/1949 for all of my ongoing overrides.

3. Select the glyph on the Temporary Ship to field and see if the appropriate address is already on the customer account.  If it is, just select that and then choose done.  If it's not, you will need to add a shipping address by selecting Add in the shipping overrides section.  

4.  Add a description for the shipping address override, the shipping address, birth date (optional), email address (optional) and the appropriate shipping code.  Save the information by selecting Accept.  Then when you are taking back to the club screen, select Done/Return.

This club shipping override will only be used when the club batch is run within the projected ship date range of the status details.
