Introduction

In a continuing effort to make our software easier to use we have designed a customer data entry screen to be used from the Touch Screen Cash Register (TCH) program.

The goal of this screen is to provide tasting room clerks with an easy to use tool for entering customer data. In the past clerks had to use the full Customer Management program with its multiple pages of entry screens.  In contrast the new screen is many times faster and less confusing.

Many of the customers we spoke to were also doing club signups on paper forms, sending the forms to a processing desk for later entry.  We wanted to eliminate the need for this process and to that end you can also add club memberships quickly and easily as part of the customer account creation.

The screen supports dynamically choosing to enter one of two different customer types.

  1. Full “numbered” accounts.  That is customer accounts with full shipping data.
  2. Email Only” accounts.

titleStep 1: Setting Up Quick Add Customer Templates

Need to be setup in MCT, then defined in MOC.  Requires every state to be listed in the grid.

**********************Need to expand on this here*****************You must specify the customer template that quick add is to use for each state. In Maintain Order Control (MOC), use the Quick add Template column in the State Control viewas shown in the image below.  Ensure you have Customer Templates and States respectively defined in Customer Default Templates (MCT) and Maintain Order Control (MOC) first.

Note

Failure to specify a state's customer template for quick add will result in the error message "Can't find template" when attempting to use the feature. For example, California as highlighted below would trigger the error message.

titleStep 3: Enabling the Quick Add Feature For Registers

By default the quick add screens are disabled.  This is to prevent surprising clerks with a drastic change.  The feature must be turned on for one or more registers.  At some time in the future we may enable the new screen by default.

To enable the new quick add screen you need to edit/create a new Central Table ZZZ entry.
You may not have permission to enter the central table configuration.  You may need to get your manager to enable the feature for you.

The ZZZ table code is PSTCHQACTL

To begin add items to your order as usual, and then touch the F2 "Bill To Cust" button in the top right corner. 
Using the F3 "Add Customer" button will invoke the new screen.

Tip

If you get an error "NO ORDER CONTROL FOUND FOR XXCan't find template" it is because you have not setup your customer template properly!

Once the new screen is up, the amount of information you enter will determine the type of account that will be created (Full Account or Email Only), as long as email only account creation is enabled in MOC. 
If there is any question as to what type of account is about to be created you can observe the text of the confirmation F1 button as well as the message line before you confirm the account information.

Shipping Address:

Data Entered into the main page of the new screen is for Shipping Address information. If your customer has an alternate billing address first enter the complete shipping address information and press enter. This will unlock the F3 "Billing Address" button.

You can scan driver's licenses to help speed the data entry of new customer information. To scan a driver's license touch the F10 button labeled "Scan/Swipe I.D." a scan prompt will appear. If the drivers license format is not recognized by the software you will receive an error. An automated system message will alert our development staff that an unrecognized format has appeared, we will add support for the new format ASAP. States are free to change the format of the driver's license data at any time, so this will be an ongoing process to keep current. Note: When scanning a driver's license,

Pro Tip: Addresses listed on drivers licenses are often out of date.  After you scan a license you will want to check with the customer that the information is current before accepting it.

 

Club Entry:

After you have entered the customer information but before you create the new account, you can set club information using the F5 button labeled "Club and Credit Card".
On this page you will find the relevant fields to sign up a customer to a club. There is also a function to scan their credit card to be used for the club.

Various optional codes for the new account can be set if desired once the full shipping information has been entered.

The AMS Software requires that full accounts at a minimum have the following information.

  • First/Last Name
  • City, Street, State, and ZIP.

In the example below a Full Account will be created as the requirements have been satisfied.

The intention to create a Full Account is displayed by the software via the button text "Add Customer" as well as the message line by stating "customer entry".

Email Only Accounts only require an email address unless you have defined further organizational requirements in the MOC screen.

In the example below an Email Only will be created as an email address has been entered but Street has been omitted preventing the requirements for a full account from being satisfied.
