Ship sales can be created using an existing customer, adding a customer during the transaction or using a default ship to customer.

Creating a ship sale using an existing customer:

Either select ship sale or Bill to Customer, it will take the clerk to the same screen:

Enter the Bill to customer # or last name in the Bill to Customer field.  If entering the last name, enter all or part of it, then the clerk can narrow it down further by adding if necessary b adding the first name or phone number.

Select the appropriate Bill to customer, review the customer information and order statuses and select Accept when ready to continue on with the transaction.

Once the Bill to customer has been chosen, the clerk will select the transaction type by selecting Ship Sale in the top section of the register.  The transaction code choices listed are from the button spreadsheet, if the clerk needs to see all of the transaction codes for the tasting room, select Show All.

Once the transaction code is selected, the clerk will be taken to the ship to information screen.  From here, the clerk can choose an existing ship to address in the Bill To Customer record, edit an existing address or add a new Ship To.  The Ship to Highligted is the ship to address in the Bill To Customers account, the shipping code filled in Shipping Code field is the shipping code from Page 2 of the customer's record. The other address are addresses added to the customers ship to shipping record along with the shipping code that was entered when the address was added.  Of necessary edit one of the existing addresses by selecting Edit Selected Address or add a new one by Add New Ship To and fill out the appropriate fields.  If the clerk is not sure what fields are necessary, hit enter and the system will highlight all required fields.  Once the appropriate Ship to customer is selected, change the projected ship date if necessary by typing it in or selecting the ? to access a calendar.  If necessary change the shipping code by typing in the new code or selecting the ? and choosing the new code.  If a shipping code is chosen that is not set up for the ship to state, the system will warn the clerk that the shipping code is not set up for use in the ship-to state, although the clerk can still choose it.  If the Shipment is a gift, select the box next to the Shipment is Gift and select Gift Msg to enter a gift message if necessary.  In AMS, the Maintain Register Master File (MRM) will tell the system how to handle a gift order, ie whether or not to print prices on packing slips, invoice, etc.

Once Accept is selected above, the clerk will now be taken to the order entry screen to add items to the Ship To customer selected.

If necessary to make any changes to the Ship To customer, shipping codes or shipping amount, select Ship To or double click on the blue Ship To customer to be taken back to the Ship To information screen.  If necessary to adjust the shipping amount, add the amount into the adjustment line.  If increasing, just add the number, if subtracting add a negative sign, then the number.

Once all items are entered select Tender Accept, payment type, and Finalize the order.

Adding a customer during the transaction using Quick Add Customer:

Start out by selecting the  Ship Sale button or Bill to Customer, then select Add customer and follow the steps to add a Quick Add Customer.  Once the customer is created, select the TTX code and follow the same steps above.

To add a ship sale using a default customer select Ship sale, the default Bill to Customer will be in the field if your default Tasting Room Transaction Code (TTX) code for the register has a Bill To Customer attached to it.  If not, choose a generic Bill To customer and select Accept.  The next step will be to choose the TTX code for the ship sale.  Once the TTX code is chosen, the clerk will choose the default Ship to customer.  If the clerk knows the number, type it in, other wise select Ship To or show All Customers.

Depending on how the button spreadsheet is set up, the clerk may be taken straight into a list of Default Ship to Customers or they may have another selection to narrow down, such as Ship Ground and Ship Air.  If so, select the appropriate button to be taken to the list of customers.

Select the appropriate cusotmer by double clicking or highlighting the customer and selecting Select cust and then Accept.  The clerk will then be taken to the Ship To information screen.

After reviewing the Ship To information and making any necessary changes select Accept to enter the zip code of the shipping address.

After the zip is entered, the clerk will be taken back to the ship to information screen one more time to accept the information entered.  Then the clerk will be taken to the order screen to add items to be shipped.
